Use Policy
Pilot OS by Rentwith Pilot LLC, a subsidiary of Astrae Holdings LLC · Effective Date: April 5, 2026
This Acceptable Use Policy ("AUP") supplements our Terms of Service and outlines the rules for using Pilot OS. Violations of this AUP may result in immediate suspension or termination of your account without notice or refund.
01. Prohibited Uses
You may not use the Service to:
- Violate any applicable federal, state, local, or international law or regulation including the Fair Housing Act, Equal Credit Opportunity Act, and applicable state landlord-tenant statutes
- Discriminate against tenants or prospective tenants on the basis of race, color, national origin, religion, sex, familial status, disability, sexual orientation, gender identity, source of income, or any other protected class under applicable law
- Engage in retaliatory actions against tenants who exercise their legal rights (e.g., reporting code violations, requesting repairs, organizing tenant associations)
- Upload, transmit, or generate any content that is harassing, abusive, threatening, defamatory, obscene, or otherwise objectionable
- Impersonate any person or entity, or falsely state or misrepresent your affiliation with any person or entity
- Use the platform to commit or facilitate fraud, money laundering, or other financial crimes
- Submit false, fraudulent, or misleading information about properties, tenants, rents, or maintenance conditions
- Circumvent, disable, or interfere with any security features of the Service
- Use automated means (bots, scrapers, crawlers) to access the Service without our prior written consent
- Reverse engineer, decompile, disassemble, or otherwise attempt to discover the source code of the Service
- Interfere with or disrupt the integrity or performance of the Service or the data contained therein
- Attempt to gain unauthorized access to the Service, related systems, or networks
- Use the Service to store or transmit malware, viruses, ransomware, or any other malicious code
- Resell, redistribute, sublicense, or commercially exploit the Service or any data obtained through it without authorization
- Use AI features to generate content that violates any law, promotes discrimination, or contains harmful misinformation
02. Fair Housing Compliance
Landlords using Pilot OS must comply with the Fair Housing Act (42 U.S.C. § 3601 et seq.) and all applicable state and local fair housing laws. This means you may not:
- Refuse to rent, negotiate, or make rental housing unavailable based on any protected class
- Set different terms, conditions, or privileges for rental based on protected class membership
- Use the messaging system to make statements that indicate preference, limitation, or discrimination
- Use any feature of the platform to screen or exclude tenants based on protected characteristics
Violations of fair housing law reported to us will be investigated and may result in immediate account termination and referral to appropriate authorities. Rentwith Pilot LLC and Astrae Holdings LLC are not liable for any user's violation of fair housing requirements.
03. Data and Content Standards
When using the platform, you must:
- Provide accurate and truthful information about your properties, units, rents, and tenants
- Obtain all necessary consents before uploading tenant personal information to the platform
- Comply with applicable data protection regulations when handling personal information
- Not upload content that infringes on any third party's intellectual property, privacy, or other rights
- Not upload or store sensitive data (SSN, full credit card numbers) outside of designated secure fields
04. Messaging and Communication Standards
All communications through the platform's messaging system must be:
- Professional, respectful, and directly related to the landlord-tenant relationship
- Free from harassment, threats, intimidation, or discrimination
- Compliant with all applicable laws regarding landlord-tenant communications
We reserve the right to review reported messages and take action against accounts that violate these standards, including suspending messaging privileges or terminating accounts.
05. System Integrity
You must not:
- Exceed reasonable rate limits or attempt to overwhelm our systems
- Probe, scan, or test the vulnerability of the Service or associated systems
- Use the Service in any manner that could damage, disable, overburden, or impair it
- Access the Service through any automated means at a rate exceeding ordinary human usage
06. Enforcement
6.1 Investigation
We reserve the right to investigate potential violations of this AUP. We may access and review account data and activity to determine compliance with this policy.
6.2 Consequences
Violations may result in, at our sole discretion: (a) a warning; (b) temporary suspension of account access; (c) permanent termination of the account; (d) removal of offending content; (e) reporting to law enforcement or relevant authorities; or (f) legal action. No refund will be issued for accounts terminated for AUP violations.
