THE PILOT OS PLATFORM, ITS FEATURES, OUTPUTS, AND ALL ASSOCIATED CONTENT ARE PROVIDED STRICTLY FOR INFORMATIONAL AND OPERATIONAL CONVENIENCE PURPOSES. NOTHING ON THIS PLATFORM CONSTITUTES LEGAL, FINANCIAL, TAX, ACCOUNTING, REAL ESTATE, OR ANY OTHER PROFESSIONAL ADVICE. USE OF THE PLATFORM DOES NOT CREATE AN ATTORNEY-CLIENT, FIDUCIARY, OR PROFESSIONAL-ADVISORY RELATIONSHIP BETWEEN YOU AND RENTWITH PILOT LLC, ASTRAE HOLDINGS LLC, OR ANY OF THEIR OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, OR AFFILIATES.

Pilot OS is a software tool designed to help you organize and manage rental property operations. The platform is not a legal firm, financial institution, tax advisory service, licensed real estate brokerage, or insurance provider. Neither Rentwith Pilot LLC nor Astrae Holdings LLC is licensed to practice law, provide financial advice, or offer professional consulting services in any jurisdiction.

Any templates, calculators, reports, suggestions, recommendations, or automated outputs generated by the platform (including but not limited to lease templates, rent estimates, financial projections, maintenance triage results, and AI-powered analyses) are provided solely for your convenience and should not be relied upon as a substitute for professional advice tailored to your specific circumstances.

You should always consult with qualified attorneys, accountants, financial advisors, licensed real estate professionals, and/or insurance agents before making decisions that may have legal, financial, or regulatory consequences.

02. AI and Automated Features Disclaimer

Pilot OS includes artificial intelligence and machine learning features ("AI Features") including but not limited to: AI Lease Analysis, AI Maintenance Triage, AI-powered suggestions, automated categorization, and predictive analytics. Regarding these AI Features:

  • AI outputs may be inaccurate, incomplete, or misleading. Large language models and AI systems can produce errors, hallucinations, and factually incorrect information. You must independently verify any AI-generated output before relying on it.
  • AI is not a substitute for professional judgment. Automated triage, categorization, and analysis are tools to assist — not replace — human decision-making.
  • No guarantee of fitness. We make no representations or warranties that AI Features will produce results suitable for your particular use case, property portfolio, or legal jurisdiction.
  • Liability exclusion. Neither Rentwith Pilot LLC nor Astrae Holdings LLC shall be liable for any decisions made, actions taken, or consequences arising from reliance on AI-generated outputs.

03. Financial and Payment Processing

Pilot OS facilitates online rent collection through Stripe, Inc. ("Stripe Connect"). Regarding financial transactions:

  • Rentwith Pilot LLC and Astrae Holdings LLC are not financial institutions, banks, or money transmitters
  • We do not hold, process, or manage funds directly — all payment processing is handled by Stripe pursuant to their terms of service
  • Financial reports, revenue projections, and analytics within the platform are estimates and should not be relied upon for tax filing, accounting, or regulatory compliance purposes
  • We are not responsible for payment processing errors, delays, chargebacks, disputes, or any financial losses arising from Stripe's services
  • You are solely responsible for IRS reporting, tax compliance, and maintaining accurate financial records

04. Landlord-Tenant Relationship

Pilot OS provides tools to help landlords and tenants manage their relationship. However:

  • Neither Rentwith Pilot LLC nor Astrae Holdings LLC is a party to, guarantor of, or intermediary in any landlord-tenant relationship, lease agreement, or rental arrangement
  • We do not verify the legality, enforceability, or adequacy of any lease template, notice, or document used through the platform
  • We do not conduct tenant screening, background checks, or credit checks, and we make no representations about the reliability or suitability of any tenant or landlord
  • We are not responsible for disputes, breaches, damages, injuries, or losses arising between landlords and tenants
  • You are solely responsible for compliance with all applicable federal, state, and local landlord-tenant laws, fair housing laws, rent control ordinances, habitability standards, notice requirements, and eviction procedures

05. Document Templates and E-Signatures

The platform may provide document templates (e.g., lease agreements, notices, addenda) and electronic signature functionality. These are provided as starting points only.

  • Templates have not been reviewed by legal counsel for your specific jurisdiction and may not comply with local law
  • It is your responsibility to have all legal documents reviewed by a qualified attorney before execution
  • E-signatures processed through the platform may or may not satisfy legal requirements in your jurisdiction — consult legal counsel
  • We make no warranty that any document created or signed through the platform will be legally enforceable

06. Property Valuations and Market Data

Any property valuations, rent estimates, market comparisons, Gross Potential Rent (GPR) calculations, or investment projections displayed within the platform are estimates only and should not be relied upon for investment decisions, loan applications, or insurance valuations. We are not a licensed appraiser or real estate broker. Always obtain professional appraisals and valuations from licensed practitioners.

07. Third-Party Services

The platform integrates with or references third-party services including but not limited to Stripe, Supabase, Vercel, Resend, and various AI providers. We are not responsible for the availability, reliability, accuracy, or security of any third-party service. Your use of third-party services is governed by their respective terms and policies.

08. Maintenance and Incident Reports

The maintenance triage and incident reporting features help organize and prioritize issues but do not constitute professional inspection, assessment, or emergency services. For true emergencies (fire, gas leaks, structural failures, health hazards), always call 911 or the appropriate emergency services immediately. We are not responsible for property damage, personal injury, or any losses arising from delayed or inadequate response to maintenance issues reported through the platform.

09. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, RENTWITH PILOT LLC, ASTRAE HOLDINGS LLC, AND THEIR RESPECTIVE OFFICERS, DIRECTORS, MEMBERS, MANAGERS, EMPLOYEES, AGENTS, CONTRACTORS, LICENSORS, SUCCESSORS, AND ASSIGNS (COLLECTIVELY, THE "RELEASED PARTIES") SHALL NOT BE LIABLE FOR ANY DIRECT, INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO DAMAGES FOR LOSS OF PROFITS, REVENUE, DATA, GOODWILL, USE, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR RELATED TO YOUR USE OF OR INABILITY TO USE THE SERVICE, WHETHER BASED ON WARRANTY, CONTRACT, TORT (INCLUDING NEGLIGENCE), STRICT LIABILITY, OR ANY OTHER LEGAL THEORY, EVEN IF THE RELEASED PARTIES HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

THE AGGREGATE LIABILITY OF THE RELEASED PARTIES SHALL NOT EXCEED THE GREATER OF (A) THE TOTAL AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM, OR (B) ONE HUNDRED DOLLARS ($100 USD).

10. Indemnification

You agree to indemnify, defend, and hold harmless the Released Parties from and against any and all claims, demands, suits, actions, judgments, losses, damages, liabilities, costs, and expenses (including reasonable attorneys' fees and court costs) arising out of or relating to: (a) your use of or reliance on the Service or any output thereof; (b) any landlord-tenant dispute to which you are a party; (c) your violation of any law, regulation, or third-party right; (d) your User Content; (e) any decision you make based on information provided by or through the Service; or (f) your breach of any agreement with us.

11. Assumption of Risk

By using Pilot OS, you acknowledge and agree that property management involves inherent risks including but not limited to financial losses, legal disputes, property damage, tenant disputes, and regulatory penalties. You voluntarily assume all such risks. Rentwith Pilot LLC and Astrae Holdings LLC are not liable for any losses or damages resulting from your property management activities, regardless of whether you used the platform in connection with such activities.

12. Governing Law

This Disclaimer is governed by and construed in accordance with the laws of the State of California, without regard to its conflict of laws provisions. Any disputes arising from this Disclaimer shall be subject to the dispute resolution provisions set forth in our Terms of Service.
